V. Analytics services / integration of third party providers

1. General information / links

Online offers from third party providers (e.g. Facebook, YouTube, Twitter, etc.) are integrated within the ERG Universitätsservice GmbH website. In order to access the contents of third party providers, IP address exchange is a technical prerequisite because it is necessary to display the content. Unfortunately, we have no control over third party providers using your IP address only to offer their services. We endeavour to select only those providers who use the IP address only to deliver their content, but we do not have any control over whether or not such third party providers store your IP address also for statistical purposes. Please familiarise yourself with the providers' data protection policies before using third party services. For the sake of simplicity, we provide you with links to these individual services.

The ERG Universitätsservice GmbH website may also contain links from other website providers to which different data protection notices may apply. For this reason, ERG Universitätsservice GmbH can neither take responsibility for the content of third party providers nor for the consequences of accessing their websites. Therefore, please check whether and how third party providers process your personal data and please note their data protection policies.

Please notify us, should you become aware of illegal content on linked sides in this context.

2. Cookies

In order to make your visit to the ERG Universitätsservice GmbH website user friendly and to allow certain functions, cookies (small text files) and the plug-ins of social media networks (e.g. Facebook, Twitter, Xing, etc.) are used on various pages. These serve to control the internet connection during your stay on the ERG Universitätsservice GmbH website or to analyse the use of the website. Cookies contain technical information and a restriction of their use may interfere with the functionality of the website.

However, our cookies do not contain any personal data (such as IP addresses or login data), only anonymous 'session IDs'. Some of the cookies we use remain on your computer so that the web server recognises your computer on your next visit. 3. Active components

Some parts of web pages of the domain mentioned above use Java and JavaScript applications. You can set your browser – if needed by using appropriate additional programs that are available free of charge – so that it rejects the execution of such applications or asks for confirmation beforehand. However, if you decline these applications, you may be unable to use certain of the website's functions.

4. Use of external search engines

Google Analytics
The ERG Universitätsservice GmbH website uses the web analytics service of Google Analytics by Google Inc. Through an internet server, Google Analytics stores small text files, so-called cookies, on your computer, which enable an analysis of your user behaviour on the ERG Universitätsservice GmbH website. The information collected by the cookies is usually transferred to a server in the USA, where it is analysed and stored. This information is used to evaluate visitor flows and activities on the ERG Universitätsservice GmbH website, and to generate reports on the website activities that have taken place. In addition, other services may be provided to ERG Universitätsservice GmbH as the website's operator.

However, if IP anonymisation is activated on this website, your IP address will be truncated within member states of the European Union (EU) or in other states participating in the treaty on the European Economic Area (EEA). Only in exceptional cases will the entire IP address be transmitted to a Google server in the USA and truncated there.

You have the option to prevent the use of Google Analytics by rejecting the storage of cookies in your browser software. However, this may affect the functions of individual websites (see 2. in this Chapter).

'Google CSE'

Within the online offers of the Freie Universität Berlin, 'Google Custom Search' (Google Custom Search Engine 'Google CSE') is used as a central search engine. This integrated search function enables a full-text search for contents of the official internet sites of the Freie Universität Berlin. Access to this search function is possible via a search field integrated into the header of the individual web pages.

To inform users about the websites of Freie Universität Berlin, the text 'search with Google ™ ...' appears in the search field. If the input field is selected by the user and a search term is entered, an additional link appears below the search box ('Notes on data transfer during Google ™ search'), which leads to these privacy notices.

Search activation

By entering a search term in the search field and then pressing the Enter key or the search icon (magnifying glass icon), the user activates the search function and the search result page is called up using a Google-provided plug-in, which then displays the corresponding search results from Google. During this process, data are transferred to the search engine.

Users can choose between a search within the websites of the currently accessed domain and all websites of Freie Universität Berlin.

Search results page

The plug-in developed and provided by Google (Google Custom Search Engine 'Google CSE') is integrated into the search results page by the operator of the official website of the Freie Universität as an 'as-is' (unaltered) software module. When the search results page is accessed, the plug-in enables automated communications (data exchange) between the search results page accessed and Google services. The use of the search function provided by Google involves a dynamic transfer of data from Google as service provider to the search results page.

Data is only transferred to Google when the user activates the search field, has started a full-text search and thereby calls up the search results page. By using the search function within the search results page, user data will be transmitted to Google at the same time. If official websites of Freie Universität Berlin are called up without activating 'Google Custom Search', no data will be transmitted to Google as the provider of the search engine. The exception are cases where users directly reference a search results page.

Consent to data transfer by using Google Search

By using full-text search and the associated download of the search results page, you agree to the transfer of data to Google services. These include, for example, the search terms you entered and the IP address of the computer you are using.

Please note that Google has different data protection standards to those of the Freie Universität Berlin! We expressly point out that the processing, in particular the storage, deletion and use of potentially transmitted personal data is the responsibility of the provider of the search engine and that the operator of the official website of the Freie Universität Berlin has no influence over the nature and extent of the transmitted data and their further processing.

Should you be logged in to Google at the same time, Google services will be able to match the information directly to your user profile. You should log out to avoid the collection of profile information about you.

5. YouTube

The ERG Universitätsservice GmbH website uses plug-ins from the Google-powered YouTube page. The website operator is YouTube LLC, 901 Cherry Ave., San Bruno, CA 94066, USA. When you access YouTube plug-ins, you will be connected to servers of YouTube. Your access tells the server which web pages you have visited. If you are logged in to your YouTube account, you will allow YouTube to match your surfing behaviour directly to your personal goal.

6. Facebook plug-ins

Plug-ins from the Facebook social media network, Facebook Inc., based in 1 Hacker Way, Menlo Park, California 94025, USA, are integrated into the webpages of ERG Universitätsservice GmbH. Facebook plug-ins can be recognised by the Facebook logo or the 'like button' on our website. You can find an overview of Facebook plug-ins here: http://developers.facebook.com/docs/plugins.

When you visit our site, a direct connection between your browser and the Facebook server is established through the plug-in. This way, Facebook receives the information that you have visited our website with your IP address. If you click on the Facebook 'like' button while you are logged into your Facebook account, you can link the content of our webpages to your Facebook profile. This allows Facebook to associate visits to our website with your user account. Please note that, as the provider of these webpages, we have no knowledge of the content of the data transmitted to Facebook or how Facebook uses these data.

7. Twitter

Twitter functions are integrated into this website. These functions are provided by Twitter Inc., 1355 Market Street, Suite 900, San Francisco, CA 94103, USA. By using Twitter and the 'retweet' function, the websites you visit are connected to your Twitter account and made known to other users. In the process, data are also transferred to Twitter. We would like to note that, as the provider of these web pages, we have no knowledge of the content of the data that is transmitted or how it will be used by Twitter. 8. XING

This website uses functions of the XING network. The provider is XING AG, Dammtorstrasse 29-32, 20354 Hamburg, Germany. Each time one of our pages containing XING features is accessed, your browser establishes a direct connection to the XING servers. To the best of our knowledge, no personal data are stored in the process. In particular, no IP addresses are stored nor is user behaviour analysed. 9. LinkedIn

This website uses functions of the LinkedIn network

The provider is LinkedIn Munich, Hofstatt 4th Floor, Sendlinger Str. 12, 80331 Munich, Germany. Each time one of our pages containing LinkedIn features is accessed, your browser establishes a connection to the LinkedIn servers. To the best of our knowledge, no personal data are stored in the process. In particular, no IP addresses are stored nor is user behaviour analysed. 10. References and links to other websites

The website team is not responsible for any external web pages linked or referred to ('links') and would only be liable if the website team had knowledge of the contents, and if it would be technically possible and reasonable to prevent the use of these pages in case they contain illegal content.

The ERG Universitätsservice GmbH website team hereby expressly declares that, at the time the links were inserted, no illegal content was found on the linked pages. The website team has no influence whatsoever on the current and future design, content or authorship of the linked / connected pages. It therefore expressly distances itself from all content on all linked / connected pages that may have been changed after insertion of the link. This statement applies to all links and references established within its own websites as well as for entries by other parties in guest-books, discussion forums and mailing lists established by the website team. The provider of the linked website, and not the party that merely provided the link, is solely liable for illegal, incorrect or incomplete content on that website, and in particular for damages resulting from the use or non-use of such content.

Some external content is integrated into the web pages of the above-mentioned domain by external providers. The integration of external content such as videos, presentations or news feeds, e.g. by social media services, can enrich the content of a website. Similar to the use of social media plug-ins (see 7.), data protection aspects have to be taken into account. For this reason, the already described '2-step solution' has been integrated for the use of such external content as well. Content included in this way can be recognised by especially displayed buttons, such as the following, which is used to display a map by 'Google Maps':

As with the use of social media plug-ins (see 7.) the same applies here: By clicking on this button, you agree to the one-time exchange of data between the respective web page of the above mentioned domain and the respective third party provider. The default setting does not transfer any data to the provider of the external content. You can permanently activate the data exchange between the web pages of the above-mentioned domain and the provider of the external content (in this case: maps.google.de) or revise your consent again retrospectively.

11. Camtasia (Video Tutorials)

ERG Universitätsservice GmbH uses the video tool "Camtasia" from the provider TechSmith for the online mediation of learning content and presentations of lectures.
Camtasia enables screen recording and video editing within one solution. These videos are used, for example, on the FU-Best websites for online ring lectures.  
By clicking on online videos, personal data can be transferred to third party providers and thus reach third countries with unequal levels of protection. 12. Cisco Webex (communication software)

ERG Universitätsservice GmbH uses the collaboration software "Webex" for its internal and external communication, which was adapted and implemented campus-wide by the computing center of the FU Berlin in April 2020. To support the software, the download of the Webex browser plug-in is required.  
Offered are the products Webex Meetings, Webex Trainings, Webex Events as well as Webex Teams, which should enable the online execution of seminars and lectures, events as well as synchronous and asynchronous collaboration.

During the sessions different personal data are processed.
Depending on the type of use, access data such as e-mail address, name and, if applicable, telephone number are required for registration. Personal data shared during video meetings, group messages, file sharing and whiteboard functions are also processed.
The third party provider Cisco Systems Inc. with its headquarters in Privacy Legal Department, 170 West Tasman Dr., San Jose, CA 95134, USA, operates with different data protection regulations. Therefore, it cannot be excluded that personal data is transferred to third countries with an unequal level of protection when using the applications. ERG Universitätsservice GmbH and FU-Berlin have no influence on this.

13. VISPA (3D communication solution)

ERG Universitätsservice GmbH uses the communication software VISPA from the provider space one GmbH, based in 70191 Stuttgart, Mönchhaldenstraße 27A, in various areas to enable online meetings in 3D format in virtual space.
VISPA is an application for remote workshops & meetings that enables participants to present a virtual 3D environment that provides an efficient working environment for ideation and innovation workshops. VISPA also enables the architecture of virtual spaces that can be entered anytime and from anywhere (virtual project space). Avatars can be used to move freely in the 3D space, placing boards, writing messages and thus being able to collaborate across locations with different goals and participants.
The personal data collected in VISPA applications is hosted on the servers of space on GmbH, which is why ERG Universitätsservice GmbH has concluded a contract with the service provider for order processing.
This contract is to ensure that the processing of personal data is carried out in accordance with the data protection level of the EU Data Protection Regulation.

14. ConfTool Pro / VSIS ConfTool (communication and event tool)

ERG Universitätsservice GmbH uses the communication software of the provider ConfTool GmbH, Hochrad 58 in 22605 Hamburg, Germany, on behalf of the FU-Berlin to organize events in the form of scientific meetings, workshops and congresses.
The provider implements the events and subsequently the corresponding department of ERG Universitätsservice GmbH will configure the respective events as well as start a test run to check the functionality according to the requirements.
Only after this, a link will be published on the respective event page.
A separate installation of the latest version of ConfTool will be used for each individual event to ensure that only the respective event organizer has access to the participant data.
The ConfTool software mainly includes the following options:
•    - Display event program
•    - Submit contribution
•    - Register for participation
•    - Display user data
•    - Edit user data
For the registration in turn, the following data can be requested, whereby only the fields marked with * are mandatory. Information can be provided on the following data: Organization / Company, Department, Salutation, Full Academic Title, Last Name, First Name, Address, State, Country, Telephone, Fax, E-mail and Homepage.
As a user, you can also leave comments in the registration form.
Later on, a user name and a password must be entered in order to be able to legitimize yourself later on.
A distinction is also made depending on the event, for example between participant, author and seminar leader etc., whereby all participants receive a registration code, a membership number or a matriculation number for further verification or can be invited via a link.
Depending on the event, the registration may also include a selection of payment methods, which are checked, processed and ultimately settled with the organizer (FU and central accounting office) by ERG Universitätsservice GmbH using participant and payment lists.
The provider ConfTool GmbH guarantees regular data backup in an ISO-certified data center at a German location and assures not to use the processed personal data for its own purposes that are not directly related to the provision of the service.
The data transfer is carried out by means of TLS / SSL encryption, and the offer of different payment methods is also secured.
ERG Universitätsservice GmbH processes personal data exclusively for the purpose for which they are collected. Personal data is received by the organizers and the accounting department for the purpose of checking accounts. The retention period is calculated according to accounting requirements and is currently 10 years.
Should a request for participation be made by a third party, only information released by the participants after prior agreement will be provided.

The provider has also submitted a data security concept and concluded an order processing contract for the software applications.
