Berlin University of the Arts and Berlin School of Economics and Law

Students submit the following data via an online form:

Accommodation for Erasmus students at the FU Berlin:

• Each semester, students register via this registration form (created by Sewobe, integrated into our website here). This means that we have details of first and last name, date of birth, nationality, email address, postal address, telephone number, home university and field of study of all students who register using this form. These data are stored in the Sewobe database and on our (I) drive.
• Furthermore, the data of students who receive a place in student accommodation will be forwarded to the respective landlord (for the creation of tenants' lists and rental contracts). These currently include: Studierendenwerk Berlin, Studentendorf Schlachtensee, Neon Wood and Berlinovo.
• For the Neon Wood and Berlinovo options, we also ask for a copy of the passport / identity card and a certificate of enrolment, and forward it to the landlord.

Accommodation for ERG Students:

• The ERG has a contingent of apartments at the Akademia Residence. All the data listed above are also requested to make a reservation there. Rental agreements are stored together with a passport copy by the administration department (original) and in our office (copy).

Accommodation for FUBiS students:

• Accommodation partners (e.g. allocation of rooms and apartments, forwarding of host family questionnaires to an external host family coordinator)

• Host family questionnaire (homestay): Participants who choose the homestay accommodation option complete a questionnaire. FUBiS forwards the questionnaire to an external homestay coordinator, who allocates participants and host families. In this questionnaire, FUBiS requires the following information: First name, surname, salutation (gender), address (postal address), phone number, email address, date of birth, country of residence, home university, course of study, family members and kind of family relationship, allergies, medical requirements, dietary requirements and smoker / non-smoker information.

• Registrations (for student accommodation): first name and surname, date of birth, nationality, email address, postal address, telephone number, home university and course of study of all students.

• The above data will be forwarded in part or in full to our accommodation partners (Studierendenwerk Berlin, Studentendorf Schlachtensee, Akademia Residenz, Steps-Hotel) by email.

We process your customer data using the management software of premium provider SEWOBE GmbH, with headquarters in Augsburg and extensive experience in the field of online administration. SEWOBE stores these data in a German data processing centre.

We grant access rights to your customer data (or member data) only to authorised persons and regularly train our employees, who are subject to confidentiality agreements.
